Should You Send a Proposal Video or Present It in Person?
Apr 29, 2025Present it in person when you get the chance. You often will not. The person on your call is frequently not the one who signs, so your proposal reaches the decision maker second hand. A recorded walkthrough puts you in the room with whoever actually decides, in your own words, at the moment they open it.
Why do written proposals go quiet?
Because a document cannot carry conviction. Chris puts the whole argument in one line:
"People buy people, not documents." - Chris Schwager
A PDF deck lands in an inbox with none of your energy attached to it. Worse, it invites one particular behaviour, and it is the behaviour that kills deals:
"It's trying to stop them from scrolling all the way to the bottom, to your price, and then going, oh, no, too much." - Chris Schwager
The price is the last thing they should read and the first thing they find. A walkthrough puts the value in front of the number, which is the order a conversation would have had. That sequencing question is the same one behind matching the right video to the right job.
Is a recorded walkthrough worse than meeting in person?
Chris raised this himself after a client told him he would rather sit with people and go through a proposal together. His answer was that the preference is fair and often unavailable.
Two things get in the way. Buyers are busy and a meeting is not always on offer. And the person on your call is regularly not the one who signs.
"Wouldn't you rather have the decision maker being spoken to from the horse's mouth, rather than the conduit, that contact, trying to deliver that message up to them?" - Chris Schwager
That is the real case for recording it. Not that video beats a meeting, but that a relayed proposal loses whoever built it. The video travels with the document to people you will never be in a room with.
What goes into a proposal walkthrough video?
You record yourself moving through the key parts of the proposal, explaining the value and the outcomes rather than reading the line items. In the masterclass this episode came from, Ridge covered three pieces: structuring the script with AI prompts, recording it on a studio that is already set up, and embedding the finished video inside the digital proposal through PandaDoc or a plain WhatsApp message.
The scripting half of that has its own walkthrough: how to turn a sales call into a proposal video script.
Does this take too long to do every time?
That is the objection Chris expects, and he answers it with the setup rather than the willpower.
"You don't need to reinvent the wheel. With the right script template, your premium studio set up and a clear system, you can do this in minutes, not hours." - Chris Schwager
The time cost lives in the two things you solve once: a script shape you reuse, and a room you do not have to build before every take. Once both are handled, a walkthrough is a recording, not a project. If you want the argument for what that actually returns, here is what video ROI looks like inside a real business.
Frequently asked questions
Is a proposal walkthrough video just a sales pitch?
No. It walks through a document the client already has, in your voice, explaining what each part is for and why the outcome is worth it. The pitch already happened. This is the part where a written proposal usually goes silent and the client is left reading a price with no context around it.
How long should a proposal walkthrough be?
Long enough to cover the key parts and no longer. You are not re-presenting the whole document. You are stopping the reader from scrolling straight to the price and deciding on the number alone. A few minutes covering value and outcomes usually does more than another five pages.
Where do you put the video so the client sees it?
Inside the proposal itself. Ridge embeds walkthroughs in digital proposals through PandaDoc, and a plain link over WhatsApp or email works too. The point is that the video arrives with the document rather than as a separate thing the client has to go and find.
Do you have to record a new one for every proposal?
Not from scratch. With a script template and a studio that is already set up, the recording is minutes rather than hours. Chris is explicit that the time cost is what stops most people, and that it disappears once the script structure and the room are both solved in advance.

Wasting hours explaining the same thing over and over to every new bloody lead. They say, let's catch up on Zoom. And before you know it, you've repeated yourself for the hundredth time. You've been doing proposals all wrong, sending bloody PDF decks. Who do you think, uh, right. Long emails, hoping the client gets it.
People buy people not documents if they don't feel your energy, your love, your enthusiasm, or understand your offer. Clearly they bounce and they bounce far. Asked, what if you could take one sales call and turn it into a repeatable, personal, high-converting video that does the heavy lifting while you sleep?
That's what smart professionals are doing right now with ai, video proposals and automation. And the best part, it's easier than you think when you know how. Hi, I'm Chris Schwager, video coach and founder of the Complete. Video success system, and I've spent decades helping professionals create high impact videos that build trust, generate leads, and drive business success.
And if you've ever felt unsure or under-prepared or just playing awkward with video, this is for you. I'll give you the mindset and strategies to take control, build video confidence so that you show up like a pro. It's time to make your videos work for you. Have you ever. Sent out a sales proposal and just, oh, hope for the best.
You hit send, you wait, and all you hear is crickets. Or worse, they ghost you after showing interest and that. Is completely disconnected, you're gone. It's difficult to try and recover that. It's often because your proposal doesn't communicate you. What if you could walk them through the entire thing, in your own words, in your own voice, without ever jumping on a call?
What if your proposal could speak for you while you are busy closing the next deal? And that's what we tackled in our recent masterclass with our premium studio members as part of the complete video success system. In this episode, I want to talk to you and go through the same system we taught and how to create a personalized video proposal walkthrough that helps you connect faster.
Your offer clearer and close deals without the awkward back and forth. And here's the thing, your proposal might be a great thing on paper, but if your client doesn't feel like they're sitting across the table from you, it won't land. And that's what this video walkthrough solves. It's trying to stop them from scrolling all the way to the bottom, to your price, and then going, oh, no, too much.
You literally record yourself walking through the key parts of your proposal, just like we demonstrated in this session, explaining the value of the outcomes and why this is a no brainer for them. We covered exactly how to structure your script using AI prompts. We showed how to record using your premium studio setup, making you look and sound like a total pro, and we explain how to embed the video inside your digital proposal using platforms like Panda Doc or even a simple WhatsApp message.
Now, why does this work? Because people buy emotionally, they buy confidence, they buy clarity. And when your face and voice and explanation are part of the proposal, you're magnetizing the right opportunities and saying yes to growth. And I was on a call with my good man, Jason Howes yesterday, and he was saying, yeah, mate, no, I, I don't do proposal walkthrough videos.
I like to sit, sit with them and go through all those things together. And I think that's true. That's absolutely warranted. I think you should definitely do that. But the thing is. Sometimes you just don't get the opportunity. Sometimes they're bloody busy and they just need, you know, to, to get on with life.
That's, you know, an unfortunate situation, but it's the truth. And sometimes they might not be the decision maker. You might be literally talking to a contact and they've then gotta communicate that up to the decision maker. That's. Hard. Now, wouldn't you rather have the decision maker being spoken to from the horse's mouth to someone that's actually doing the job rather than the conduit that contact, trying to deliver that message up to them and making a mistake, making a big error with it, right?
You might be thinking, I don't have time to record a new video for every proposal, but here's the secret. You don't need to reinvent the wheel with the right script template, your premium studio set up in a clear system. You can do this in minutes, not hours. Simplicity wins every time. So if you're already a premium studio member, go back and replay the masterclass.
